GP PTO Aug 2024 Meeting Minutes

Aug 5, 2024, at 6pm location TBD

 

• Call to order 6:04pm 

• Approval of minutes from the June meeting (Christina, Secretary)

  • Lindsey was first to approve followed by Emily.

 

• Officers’ Reports

Co-President Erica Forthaus and Sara Faron. 

• Nature Trail Update

  • Rockwood update - any support from Rockwood Grounds will need to wait until after October. 

    • Accessible over roots - RSD will address with screening after Octoberk

    • Washed out classroom - no washing after early July, haven’t been able to check again

    • Action: Sara will ask eagle scouts to come back and clean the trail again

 

• Field Trips

  • PTO v Rockwood Money 

    • No change will occur with how money is allocated this year however Susan will add Bus to the description and remove fine arts verbiage from the description

• Newsletter- 

  • New Structure proposal: Approved

    • One month prior event specific ParentSquare posts with flyers, volunteer and date to pull to the calendar. 

  • ParentSquare has a new formatting tool

 

• Magnets

• Movie License Update

  • Every school needs their own, PTO will need to continue to pay the $425

• Trivia Update

  • There will be a committee for the action: Sara will put out a request in Sept- after booster. Susan N will be highly involved with the committee.

  • Theme of event will be Movies

  • PTO will start selling tickets sooner

• Budget review

  • Party Fees: Action: Emily needs to connect with amy to set up Parent Pay Giving

  • City soccer Game: Look into City 2 game. Keep City as part of the budget for now. Angie is still communicating with City. 

  • Field Trips: all school field trips off the table for this year. Leave it In the budget for now. Add Bus description and remove fine arts.

  • Teacher appreciation: Snack Budget and conference is too small for what we need to get out of it. Reduce from Character Ed. Bump up conference to $800 each or 1600 total  and snack up by 250 total being $600 for 3  snack days

  • Keep Recess and Specialist enrichment expense line items as is.

  • Field day allocations: will allocate the leftover field day money from last year into field day

  • 5th grade contribution will remain the same.

• School Shirts update

  • Distribute K at Roundup and rest at Fun Run AM

  • Note home to parents to remind about wearing

• Freezer: Susan and Angie will coordinate pick up. 

• Sponsor update and sponsor sign update with spend

  • Wildhorse Dental and Bo Beuckman Ford

• Gator Gear update 

  • Gator Sale Table for events: For fall BBQ- have samples and a doc with the store detail. Have more accessories rather than clothes. Look into croc charms. Example of price will be $10 sell for $17. Address where to buy at meet the teacher

  • Sale of gear online-Casual Tees

• Ballwin Sno Update

• School Supply Kit 

• Bootherthon update & Date change for Fun Run

  • Bubble Bus, no need to be concerned about bubble allergy

  •  Need volunteers!

• Restaurant Day Rep- Becker

• Monthly handout flyer completed

• Chalk the Walk Aug 12th- flyer completed- Needs to be shared 

• Friday before school starts/First week of school hydration station (would just need to buy water and drink packets, we have the syrups) 

• Snack Day Rep Brett Thomason

  • Kaylin Oshin will handle one

  • Susan would like to do an additional snack day on 3/14- Jackie will meet with Mrs Schott at the end of August to hammer out dates allowed for snacks

• Adopt A Gator Update- change to quarterly gifts and random staff assignments. Google Form for staff will send to Mrs Schott. Parent Square for families signup or google form? (Google form would likely be easiest for me to have all families info)

• Conference Meal update- need to know budget before I can do anything 

  • Addressed in budget update

 

VP of School Community Emily Hewitt

• $5 fee 

• New signs for the front of school

• New Family Welcome update?

  • PTO pays Pizza, cookies and water bottles. Amy can order.. PTO responsible for ice in coolers, cookies and waters

• Meet the teacher update?

  • Hand out flyers: yes

  • Hand out $5 fee attached to the flyer?

  • Decor that will carry over for the first day?

  • Balloons are doable 

• Yard Sign Email

  • Aug 16 putting yard signs out. Picking up following week

• Fall party update- October 16

  • Bottles at Sara’s 

• Field Day next year- 

  • full school picnic between sections is still planned. Action: Angie to coordinated once staff returns
